Sumcase — Terms of Service

These Terms of Service ("Terms") govern your use of Sumcase (the "Service"), a receipt-scanning and expense-tracking application. By creating an account or using the Service you agree to these Terms and to our Privacy Policy. If you do not agree, do not use the Service.
1. The Service
Sumcase lets you upload receipt files, uses artificial-intelligence models to extract information from them (dates, amounts, taxes, vendors, categories, and similar fields), converts foreign-currency amounts using published reference exchange rates, and organizes the results by project. AI extraction is automated and can make mistakes: extracted values are estimates until you verify them. Receipts the system is less certain about are flagged for manual review, but you are responsible for verifying all data before relying on it. Sumcase is not tax, accounting, or legal advice, and is not a substitute for professional bookkeeping. You are responsible for the accuracy of any figures you submit to tax authorities or third parties.
2. Accounts and security
You can create an account with an email address and a password, or by signing in with Google (where offered). We do not independently verify email addresses entered with a password — you are responsible for entering your email correctly, and for everything that happens under your account. Keep your password confidential; sessions are authenticated with a signed browser cookie. Notify us immediately if you suspect unauthorized access. You must be at least the age of majority in your jurisdiction to use the Service.
3. Free-account limits
Accounts without a subscription include a lifetime total of 50 receipt scans. Deleting receipts does not restore scan allowance. Once the allowance is used, your existing data stays viewable free of charge, but adding new receipts requires a subscription. The free allowance is one per email address — deleting and re-creating an account does not reset it.
4. Subscription, billing, and renewal
The paid subscription costs $72 CAD per year(US$54 / €46 for customers billed in those currencies), presented for convenience as a monthly equivalent (e.g. "$6 a month"). It is billed annually in advance and renews automatically each year at the then-current price until you cancel. You can cancel at any time from Settings → Manage billing; cancellation stops future renewals and your subscription remains active until the end of the period already paid. Payments are processed by Stripe; we never see or store your full card number. Billing starts when you subscribe. Except where required by law, fees already paid are non-refundable; nothing in these Terms limits any non-waivable rights you have under applicable consumer-protection law.
5. Fair-use limits
To keep the Service fast and affordable for everyone, subscribed accounts can add up to 300 receipts per rolling 30-day period. We may adjust limits with reasonable notice; limits will not shrink below what a plan advertised when you bought it during a paid period. In addition, we reserve the right, at our discretion, to apply stricter limits to (or suspend) a specific account that shows a clear pattern of abusing the system — for example automated bulk uploading unrelated to genuine expense tracking, circumventing limits, or usage that degrades the Service for others. Where reasonably possible we will notify the affected account and give an opportunity to explain.
6. Public demo
The public page includes a demo that lets visitors scan a receipt without an account. Demo uploads are processed once to display the extracted fields and are not stored; the demo is rate-limited (including by IP address) and is provided as-is, for evaluation only.
7. Your content
Receipts and data you upload remain yours. You grant us the limited license to store, process, and transmit that content as needed to operate the Service — including sending receipt content to our AI provider for field extraction and to our infrastructure providers for storage and hosting (see the Privacy Policy for the list). You are responsible for having the right to upload what you upload, and for not uploading unlawful content.
8. Acceptable use
You agree not to: abuse, overload, probe, or disrupt the Service; attempt to access other users' data; reverse-engineer the Service except as permitted by law; use the Service to store or process unlawful content; resell or white-label the Service without our written consent; or circumvent free-allowance, billing, or usage limits (including by creating multiple accounts).
9. Account deletion and data retention
You can delete your account at any time from Settings. Deletion permanently removes your account data — receipts, uploaded files, projects, and settings. If you have an active subscription, it is not refunded or cut short: it stops auto-renewing and remains attached to your email until the end of the billing period already paid, so if you register again with the same email before that date, your paid access resumes. After deletion we retain a minimal permanent billing ledger (your email address and subscription and payment history) for legal, accounting, anti-fraud, and audit purposes — see the Privacy Policy.
10. Availability and changes
The Service is provided "as is" and "as available." We aim for high availability but do not guarantee uninterrupted or error-free operation, and we may modify features over time. We may suspend or terminate accounts that violate these Terms. If we ever discontinue the Service, we will give reasonable notice so you can export your data.
11. Disclaimers and limitation of liability
To the maximum extent permitted by applicable law: we disclaim all warranties, express or implied, including fitness for a particular purpose; and our total aggregate liability for any claim arising out of or relating to the Service is limited to the amount you paid us in the 12 months preceding the claim. We are not liable for indirect, incidental, special, or consequential damages, including losses arising from inaccurate AI extraction that you did not verify. Some jurisdictions do not allow certain exclusions or limitations — in those jurisdictions, these limitations apply only to the extent permitted.
12. Governing law
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein. Disputes are subject to the courts of Ontario, without prejudice to any mandatory consumer-protection rules that give you the right to proceed in your home jurisdiction.
13. Changes to these Terms
We may update these Terms from time to time. For material changes we will give you advance notice in-app or by email, as required by applicable law. Continued use after the effective date constitutes acceptance.
